Endeavor Schools has an exciting opportunity for a Facilities Service Administrator!
The Facilities Service Administrator provides operational and administrative support to the Senior Director, Director of Facilities, and Facilities team. This role ensures effective coordination of facilities operations across schools, supports vendor management processes, and maintains clear communication between schools, vendors, and internal teams. Essential Tasks

  • Provide daily operational and administrative support to the Senior Director and Director of Facilities, including project follow-ups and coordination of key initiatives.
  • Serve as a central point of contact for facilities-related calls, emails, and requests, ensuring transparent communication between schools, technicians, and vendors.
  • Act as the facilities point of contact for schools in markets without a dedicated facilities coordinator or technician, managing work orders and vendor coordination.
  • Support the rollout and administration of ServiceChannel, including vendor onboarding, documentation management, and compliance verification.
  • Maintain and update issue tracking within ServiceChannel and manage documentation such as warranties and asset replacement records.
  • Oversee vendor engagement from work order initiation through completion, including invoice review and approval coordination.
  • Assist schools and Regional Directors with troubleshooting facilities issues when possible before vendor escalation.
  • Support development of training materials, FAQs, and onboarding sessions related to facilities systems and processes.
  • Host weekly virtual open office hours to provide support and answer questions from school leaders and operations partners.
  • Partner with Accounts Payable to ensure approved invoicing reports are accurate and properly processed.
  • Prepare reports and operational summaries for the Director and Senior Director to share with Operations leadership.
  • Assist leadership in supporting national service programs, including landscaping/snow removal, janitorial services, and pest control.
  • Other duties as assigned.

Education, Skills, and Experience:

  • 2+ years of experience in facilities administration, operations coordination, or a related role.
  • Experience with facilities management or work order platforms; familiarity with ServiceChannel is a plus.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced, multi-site environment.
  • Excellent written and verbal communication skills, with the ability to coordinate effectively across school teams, vendors, and internal departments.
  • Detail-oriented with strong analytical and problem-solving abilities, including the ability to review and process vendor invoices accurately.
  • Proficiency with Microsoft Office Suite and comfort with technology platforms; experience with work order management systems preferred.
  • Ability to work independently and proactively in a remote or hybrid capacity while supporting multiple school locations.
  • Experience in multi-site education, property management, or related service industries is preferred.
